Who we are

Accounting Solution is an accountancy practice at 33 Bond Street, Brighton BN1 1RD. We are the controller of the personal data described here. You can contact us on info@acctsolution.co.uk or 07534 476727.

What we collect

We collect only what we need to respond to you and to do the work you engage us for:

• Contact details such as your name, email address and telephone number
• Identity and tax details needed for the work, such as your date of birth, National Insurance number and Unique Taxpayer Reference
• Financial information such as income, expenses, bank and accounting records, payroll details and company information
• Anything you choose to tell us in emails, WhatsApp messages, calls or our contact form

Why we use it, and our legal basis

We use your data to reply to enquiries and to provide accountancy, tax, bookkeeping and payroll services. The legal bases are steps taken at your request before a contract (enquiries), performance of our contract with you (client work), and our legal obligations, including anti-money-laundering checks and the requirements of HMRC and Companies House.

We may also send you reminders about tax deadlines and changes that affect you as a client, on the basis of our legitimate interest in keeping clients informed. You can ask us to stop at any time.

Who we share it with

We share personal data only where needed to do the work or where the law requires it. That includes HMRC and Companies House, cloud accounting and payroll software providers you use with us, our website host and form handler (Netlify), and our professional advisers and insurers where necessary. We do not sell your data.

Some providers process data outside the UK. Where they do, we rely on the safeguards required by UK data protection law.

How long we keep it

We keep client records for six years, or for as long as an engagement continues if longer, in line with our terms of business and HMRC requirements. Enquiries that do not become engagements are kept for up to 12 months and then deleted.

Your rights

Under UK GDPR you can ask to see the personal data we hold about you, have it corrected, have it erased where we no longer need to keep it, restrict or object to some uses of it, and ask for a copy in a portable format. Some rights are limited where we must keep records by law. Email us and we will respond within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

This website does not use advertising cookies. Our contact form is handled by Netlify, which processes the details you submit so we can receive them.
